How to Set Up Scheduled Tasks in Claude Cowork in 2 Minutes

Most business owners use AI only when they remember to. That means the weekly pipeline review happens some weeks, and the cash check happens after something already feels off. In my book, Unleash the Power of AI: Your Guide to Claude Cowork, I show how the Scheduled feature in Claude Cowork fixes that, and each task takes about two minutes to set up. Here is how to set up your first one.

Running reports on Autopilot

Step 1: Connect the Tools Your Task Needs

  • Start with your core data: Connect your accounting tool (such as QuickBooks), Google Drive, and Gmail first. Together they cover your money, your documents, and your communications.

  • Add tools for the task: A pipeline review needs your CRM, such as HubSpot. A Morning Brief needs your calendar and inbox.

  • Keep it simple: You do not need every connector on day one. Add them as each new task calls for one.

A scheduled task is only as good as the live data it can reach, so connectors come first.

Step 2: Choose One High-Frequency Task

  • Look for repeat work: Pick something you do every day or every week, such as an inbox summary, a status report, or a cash position check.

  • Use the AI Opportunity Matrix: In Chapter 2 of the book, I show how a 20-minute daily task adds up to more than 80 hours a year. Frequency is where scheduling pays off most.

  • Fix the process first: AI does not fix broken processes, it accelerates them. Make sure the steps are clear before you put them on a schedule.

Starting with one well-chosen task gives you a quick win and a clear measure of time saved.

Step 3: Describe the Task and the Timing in Plain Language

  • Say what you want: Tell Cowork what to pull, what to analyze, and what the output should look like.

  • Say when: Daily, weekly, monthly, or at a specific future date.

  • Let Cowork handle the rest: Cowork confirms the setup, and the task appears in your Scheduled panel.

Here are three prompts from the book you can use today:

"Set this up to run every Monday at 7am."
"Run a cash position check every Friday afternoon and alert me if anything is below my threshold."
"Remind me to review this decision in 90 days."

No code and no technical setup are required, which makes this one of the fastest wins in Cowork.

Step 4: Build a Daily, Weekly, and Monthly Rhythm

  • Daily Morning Brief: Each morning, Cowork pulls your pipeline, calendar, and urgent emails into a one-page snapshot that is ready before your first meeting.

  • Weekly Friday Review: Each Friday afternoon, Cowork summarizes revenue against the prior week, stale deals, and your top three priorities for the week ahead.

  • Monthly Financial Summary: On the first of each month, Cowork produces a plain-English summary of your numbers, ready for your own review or your accountant.

In the book, I call this Layer 3: AI-Automated Operations. Your business keeps running smarter whether or not you are at your desk.

Step 5: Review, Edit, or Pause From the Scheduled Panel

  • Find it fast: Scheduled sits in the left-hand navigation in Cowork. Every active automation lives there.

  • Adjust as you go: Edit the timing, change the output, pause a task, or cancel it at any time.

  • Review the results: Spend a few minutes with each output, then refine the prompt so the next run is even more useful.

A schedule you can easily tune is a schedule you will keep using.

What This Means for You

Once your first task is running, the next ones come quickly. Here is where to use scheduling next:

  • Decision follow-ups: Set a 90-day check-in the moment you make a major decision, so Cowork compares the plan to actual results.

  • Strategy check-ins: Run a Monday morning review of your goals against the week's calendar.

  • Vendor and spend reviews: Schedule a monthly or quarterly review so costs never drift unnoticed.

The Bottom Line

A weekly review that runs 52 times a year produces a very different result than one you remember to do now and then. Set up one scheduled task this week, and you will reclaim time every week after. Cowork handles the routine, so you can focus on the decisions only you can make.
